The Program Assistant will provide administrative and program support to facilitate the provision of quality ESOL instruction and support services to adult immigrant community members. The Program Assistant will assist with registration and testing, schedule enrolled students to receive support services, collect and record daily attendance, conduct follow up with participants by phone, and record student information and data in appropriate databases. The Program Assistant represents Jacob A. Riis Neighborhood Settlement (Riis Settlement) and the Immigrant Services program to students and fosters an environment that offers participants the resources, opportunities, and support needed to help them grow and achieve self-sufficiency.
Primary Responsibilities
Participant Interaction
+ Assist with outreach and recruitment for ESOL programming.
+ Greet participants and direct them to the proper staff members.
+ Register, conduct intake with, and pre/post test program participants.
+ Communicate with prospective and current students regarding programming and other service needs.
+ Assist with follow-up with registered students to determine satisfaction with program and/or reasons for absence to maintain necessary average daily attendance in classes and other programs.
+ Connect students enrolled in ESOL classes to other services provided through Riis Settlements Immigrant Services program (case management, immigration legal services, citizenship classes, computer classes, advocacy activities) and provide referrals to outside support services.
Administrative Functions
+ Provide support to ESOL program by monitoring student attendance, enrolling students, and pre- and post-testing students.
+ Keep programmatic data up-to-date including daily attendance records, participant demographic information and anticipated outcomes using Capricorn database and internal monitoring tools.
+ Perform general administrative tasks, including answering phones, faxing, filing and photocopying, and assisting with mailings.
+ Assist program staff with other tasks and programming as need arises.
Requirements
Statement of Skills, Knowledge & Abilities:
+ High School diploma required
+ Bilingual English/Spanish required (additional languages are a plus)
+ Ability to effectively engage diverse ethnic populations and outreach in local communities
+ Experience in adult education and BEST Plus certified preferred
+ Overall positive demeanor and welcoming attitude
+ Ability to work independently and creatively
+ Proficiency in Microsoft Office
+ Excellent interpersonal skills, including oral and written communication
+ Maturity, flexibility, patience, resourcefulness and a willingness to learn
Schedule:
